Winter freight planning: prepare before temperatures drop

Published October 23, 2026 · Original North Plus Nexus guide

A well-prepared shipment starts before the truck arrives. As winter approaches, a few clear instructions can help your transportation team plan around changing weather, facility access and cargo-handling needs.

Make the delivery window realistic

Separate a preferred arrival time from a firm appointment. Tell your transportation team whether the receiver can accept an earlier or later delivery, and agree on who will approve a revised appointment if conditions change. Avoid building a schedule around a best-case journey alone.

Put temperature instructions in writing

If freight is sensitive to cold or heat, provide the required temperature range and handling instructions before equipment is arranged. Identify any freeze-sensitive products, loading requirements and monitoring expectations. Do not assume that every product needs the same reefer setting or that equipment can correct cargo loaded at the wrong temperature.

Check the details at both ends

  • Site access: confirm dock availability, yard access and any snow-clearing arrangements with the facility.
  • Appointments: verify receiving hours and the procedure for weather-related delays.
  • Cargo: share pallet count, weight, dimensions and temperature or handling requirements.
  • Contacts: provide someone reachable during pickup and delivery, including after-hours instructions where needed.

Agree on a communication plan

Decide who should receive shipment updates and how changes will be communicated. Early notice gives the shipper, carrier and receiver more time to coordinate a practical response.
